We collect personal information that you voluntarily provide to us when expressing an interest in obtaining information about us or our products and services, when participating in activities on the Services, or otherwise contacting us.
The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we may collect can include: name, email, phone, address, and occupation. It may also include the content of coaching sessions, meetings, and communications, including any audio, video, transcripts, or notes created during our work together (see Section 2, "Recordings," and Section 3, "AI and automated tools"). Users may visit our Site anonymously.
How we use collected information
Elayna Alexandra LLC may collect and use Users' personal information for the following purposes:
To provide coaching and related services – The core purpose of our relationship with you.
To improve customer service – Information you provide helps us respond to your requests and support needs more efficiently.
To improve our Site and Services – We may use feedback you provide to improve our products and services.
To process payments – We may use the information you provide when placing an order only to provide service to that order. We do not share this information with outside parties except to the extent necessary to provide the service.
To send periodic emails – We may use your email address to send information and updates, to respond to inquiries, questions, and other requests, and (where you have opted in) to send newsletters.

We do not sell, trade, or rent Users' personal identification information to others. TidyCal – Appointment and chemistry-call scheduling. Information you provide when booking is stored with TidyCal.

QuickBooks (Intuit) – Billing and invoicing (name, contact, and billing information), stored under password protection at quickbooks.intuit.com. To view: https://www.intuit.com/privacy/.

Zoom – Video meetings and, as needed, recordings. See the "Recordings" note in Section 2.
Google Workspace / Google Drive – Secure storage of session recordings, transcripts, and notes.
AI-assisted transcription and productivity tools – See Section 3.

Recordings
We may record coaching sessions and meetings via Zoom or similar tools as needed; a separate disclosure and your consent will be obtained before recording. Recordings and any associated transcripts are stored securely on Google Drive for up to two (2) years and then destroyed. These recordings are not shared with the public; they are used as a resource for you and for our own learning and growth.
Third-party websites
Users may find links on our Site to the sites and services of partners, suppliers, advertisers, sponsors, licensors, and other third parties. We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site. These sites may have their own privacy policies. Browsing and interaction on any other website is subject to that website's own terms and policies.
2. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy policy unless otherwise required by law.
We will only keep your personal information for as long as necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this policy will require us to keep your personal information for longer than two (2) years, except where required by law.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it, or, if this is not possible (for example, because it is stored in backup archives), we will securely store your personal information and isolate it from any further processing until deletion is possible.
3. Do we use artificial intelligence (AI) and automated tools?
In Short: Yes. We use AI-assisted tools to transcribe and summarize sessions and to help us run our business more efficiently. We do not use AI to make significant decisions about you without a human involved, and we do not sell your information or session content to train public AI models.
To deliver and improve our Services, we may use artificial intelligence and automated tools, including:
AI-assisted transcription and note-taking. We may use tools such as Krisp, Zoom's AI features, or similar services to transcribe, caption, or summarize coaching sessions and meetings. These transcripts and summaries are used as a resource for you and for our own learning and service improvement, are stored securely (see Section 2), and are not shared publicly. Where a session will be transcribed by an AI tool, we will let you know, and you may ask us not to use AI transcription for your sessions.
AI assistants and productivity tools. We may use AI-based tools (for example, large language model assistants) to help draft communications, organize notes, prepare materials, and improve our Services. When we use these tools, we limit the personal information we input to what is reasonably necessary and take steps to avoid sharing sensitive personal information.
No automated decisions with legal effect. We do not use AI or automated processing to make decisions that produce legal or similarly significant effects about you without human review and involvement. AI supports our work; it does not replace the human coaching relationship.
No sale of your data for AI training. We do not sell your personal information or the content of your sessions, and we do not permit it to be used to train third-party public AI models. Where we use AI vendors, we rely, where available, on business or enterprise terms that restrict the vendor's use of your data for their own model training.
Accuracy. AI-generated transcripts and summaries may contain errors. They are a support tool and are not a verbatim or authoritative record. Please let us know if you spot an inaccuracy so we can correct it.

4. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, please remember that we cannot guarantee that the internet itself is 100% secure. Although we will do our best to protect your personal information, the transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
5. Do we collect information from minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of such a minor and consent to the minor's use of the Services. If we learn that personal information from users under 18 has been collected, we will take reasonable measures to promptly delete such data. 7. Controls for do-not-track features
Most web browsers and some mobile operating systems and applications include a Do-Not-Track ("DNT") feature you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. No uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals. If a standard is adopted that we must follow in the future, we will inform you in a revised version of this privacy policy.
8. Do California residents have specific privacy rights?
In Short: Yes. If you are a resident of California, you are granted specific rights regarding access to your personal information.
California Civil Code Section 1798.83, the "Shine The Light" law, permits users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes. If you are under 18, reside in California, and have a registered account with the Services, you have the right to request removal of unwanted data you have publicly posted. To request removal, contact us using the information below and include the email address associated with your account and a statement that you reside in California. We will make sure the data is not publicly displayed, but please be aware it may not be completely removed from our systems.
